Basic stance and policy

Preface

KOKI recognizes corporate social responsibility to fulfill its responsibility as a member of society and engages in its business with the KOKI spirit which respects: A. Labor, B. Health and Safety, C. Environment, D. Ethics, E. Management system.

KOKI sets out the following business philosophy and basic policy to conduct corporate activities based on compliance and self-responsibility as its part of social responsibility.

Basic Policy

With the belief that the existence of the customers is always necessary for an enterprise to achieve persistent growth, KOKI firmly adheres to the “customer-first” philosophy and believes that meeting and exceeding customer requirements and increasing customer satisfaction are the keys to improve KOKI’s business performance. To improve customer satisfaction, KOKI shall strive to innovate new values, endeavor to undertake any and all challenges. To swiftly achieve this goal, KOKI shall seek harmony with not only our employees but also our customers and society and seek the employees’ material and emotional fulfillment through their growth.

KOKI shall, as a group of soldering technology professionals, broadly and actively contribute to the further evolution and innovation of the soldering industry throughout the world by providing leading edge technologies, excellent product quality and value-added services.

A. Labor

  1. Freedom of choice for employment
    KOKI respects the right of workers to work based on their own free will and never exploit forced labor. KOKI shall provide an Employment Agreement in writing which includes employment conditions in the employee’s native language or the language he or she is fluent in. All work is voluntary, and employees are free to leave work/ terminate their employment at any time without paying a penalty. KOKI will not hold employees’ identification or immigration documents, such as officially issued passports or work permits in exchange for employment. KOKI will not require its employees to pay recruitment fees or other related fees for their employment.
  2. Young workers
    KOKI does not allow labor by children below the minimum working age (under the age of 15, or under the age for completing compulsory education), and does not assign young employees (under the age of 18) to perform work that is likely to jeopardize their health or safety, including night shifts and overtime. If any child labor is identified, KOKI shall provide assistance/ remediation measures.
  3. Working hours
    KOKI manages its employees’ working hours, holidays and day-offs so as not to exceed the maximum working hours set by local laws.
  4. Wages and benefits
    KOKI’s compensation paid to workers shall comply with mandated standards on minimum wages, overtime hours and statutory benefits. All workers shall receive equal pay for equal work and qualification. Deductions from wages as a disciplinary measure shall comply with the local laws.
  5. Humane treatment
    KOKI shall respect human rights and prohibit any inhumane treatment including, but not limited to, sexual harassment, harassment by supervisors, workplace bullying, sexual abuse, corporal punishment, mental or physical coercion, verbal abuse, etc. The prohibition also applies to such conduct among employees.
  6. Prohibition of discrimination
    KOKI shall not engage in discrimination based on age, race/ color, gender, gender identity, sexual orientation, etc., ethnicity or national origin, disability, pregnancy, political affiliation, union membership, covered veteran status, protected genetic information or marital status, and commit to enact equal opportunity and equal treatment. In addition, potential workers should not be subjected to pregnancy or virginity tests.
  7. Freedom of association
    KOKI shall respect its employees’ right of association as a way of negotiation between employer and employees to regulate working salaries, etc. or working conditions. In addition, employees shall be able to communicate and share their ideas with management regarding working conditions and management practices without fear of discrimination or reprisal. Employees are entitled to elect lawful worker representatives and communicate and negotiate with management.

B. Health and Safety

  1. Occupational Health and Safety
    KOKI will assess safety risks and ensure a safe workplace through a proper design, technique and control methods for hazard preventative maintenance and safe work procedures. In case hazards cannot be adequately controlled by these means, workers shall be provided with appropriate, well-maintained personal protective equipment. KOKI will provide reasonable accommodations for pregnant women and nursing mothers to protect them from working in a condition which could be hazardous to them or their child.
  2. Emergency Preparedness
    To ensure the physical safety of the employees, potential emergency situations and events shall be assessed, and their impact shall be minimized by implementing emergency response plans (emergency reporting, employee notification and evacuation procedures). Emergency drills shall be executed at least annually. Emergency response plans include legally mandated fire detection and suppression systems, clean and unobstructed exits, contact information, etc. to minimize the impact of an emergency.
  3. Occupational Injury and Illness
    KOKI shall identify occupational injury and illness and implement adequate countermeasures including corrective actions to remove their causes. KOKI allows employees to remove themselves from imminent harm and not return until the situation is mitigated without fear of retaliation.
  4. Industrial Hygiene
    KOKI shall identify employees’ exposure to chemical, biological and physical agents, noise or odors. When hazards cannot be adequately controlled, employee health shall be protected by appropriate complimentary personal protective equipment. KOKI shall provide a safe and healthy working environment, which shall be maintained through ongoing, systematic monitoring of employees’ health and working environments.
  5. Physically Demanding Work
    KOKI shall identify physically demanding tasks, including manual raw material handling, repetitive lifting or prolonged standing, and properly manage them to prevent workplace injury or disease.
  6. Machine Safeguarding
    KOKI shall assess the safety hazards of production and other machinery and install appropriate safety measures such as interlocks, and properly protect and maintain.
  7. Sanitation, Food and Housing
    KOKI will provide and maintain clean and sanitary facilities (dormitories, eating facilities and toilets/ bathrooms, etc.). Dormitories are to be maintained to be clean and safe to provide a comfortable environment. The facility shall be provided with appropriate emergency exits, adequate lighting, adequate conditioned ventilation and individually secured accommodations for storing personal and valuable items, and reasonable personal space along with reasonable entry and exit privileges.
  8. Health and Safety Communication
    KOKI shall provide adequate safety related OJT in compliance with domestic laws to all employees prior to the beginning of work in a language the employee can understand and provide additional training as needed. Safety information and appropriate health checks or training shall be implemented as necessary. Employees are encouraged to raise any safety concerns without retaliation.

C. Environment

  1. Environmental Permits and Reporting
    KOKI shall obtain and maintain all required environmental permits, approvals and registrations and keep them current, and their operational and reporting requirements shall be followed.
  2. Pollution Prevention and Resource Conservation
    KOKI shall manage chemical substances specified by the local laws and regulations in the production management process of the chemical substances used in the manufacturing process. Natural resources, such as water, fossil fuels and minerals, shall be reduced by changing production, maintenance and maintenance related processes, use of alternative substances, reuse, conservation, recycling or other measures.
  3. Hazardous Substance
    KOKI shall identify and label chemicals, waste and other materials posing a hazard to humans or the environment and manage them to ensure their safe handling, movement, storage, use, recycling, and disposal. Hazardous waste data shall be tracked and documented in accordance with laws and regulations.
  4. Wastewater and Solid Waste
    KOKI shall manage, reduce and responsibly dispose of or recycle solid waste. KOKI shall comply with local laws and regulations related to wastewater, sludge or exhaust and make further improvements based on voluntary standards as necessary.
  5. Air Emissions
    KOKI shall implement appropriate treatment in relation to the air emissions of volatile organic chemicals, aerosols, corrosives, particulates, ozone depleting substances, and combustion byproducts generated from operations. In addition, KOKI shall establish voluntary targets to implement greenhouse gas emission reduction and seek continuous reduction.
  6. Materials Restrictions
    KOKI shall adhere to all applicable laws, regulations, and customer requirements regarding the prohibition or restriction of specific substances in products and manufacturing, including labeling for recycling and disposal.
  7. Rainwater treatment
    KOKI shall implement approaches to prevent rainwater contamination. In addition, KOKI prevents illegal discharge or overflow from entering the rainwater lines. KOKI shall periodically monitor the performance of the wastewater treatment and control system to ensure the appropriate performance and compliance with the regulations.
  8. Energy Consumption and Greenhouse Gas Emissions
    KOKI shall establish voluntary targets to implement energy saving and strive to have continuous efficient energy consumption. In addition, energy consumption and climate change information, such as all of Scope 1 and 2 from greenhouse gas emission protocol, shall be documented and publicly reported.

D. Ethics

  1. Business Integrity
    KOKI shall have healthy and normal relationships in all business interactions and prohibit any and all forms of bribery, corruption, extortion and embezzlement.
  2. No Improper Advantage
    KOKI shall not offer or accept bribes or have any other improper advantage. KOKI shall establish and maintain monitoring, record keeping and enforcement procedures to ensure compliance with anti-corruption laws.
  3. Disclosure of Information
    KOKI shall disclose information regarding labor, health and safety, environmental practices, business activities, structure, financial situation and performance in accordance with applicable regulations and prevailing industry practices. KOKI shall provide accurate information regarding its products and services to the consumers and customers.
  4. Intellectual Property
    KOKI shall respect intellectual property rights and transfer technology and know-how in a manner that protects intellectual property rights. In addition, KOKI protects customer information and shall not infringe intellectual property rights of other companies.
  5. Fair Business, Advertising and Competition
    KOKI shall implement activities to prevent unfair business practices and establish a system to detect and respond quickly. In addition, confidential information received from the customer and any third party is to be properly stored and protected.
  6. Protection of Identity and Non-Retaliation (Ethics escalation program)
    KOKI shall provide programs that ensure confidentiality, anonymity, and protection of employee whistleblowers, unless prohibited by law. KOKI uses a communication process through which an employee can raise any concern without fear of retaliation. See Appendix 1. Ethics Escalation Program for the detailed procedure.
  7. Responsible sourcing of minerals
    KOKI group, including KOKI Japan and its overseas subsidiaries, will not procure any material for the soldering materials it produces nor trade with any metal supplier which does not comply with the assessment based on the Responsible Mineral Assurance process initiated by Responsible Minerals Initiative (RMI).
  8. Privacy
    KOKI commits to proper control and protection of personal information of customers, third parties and its employees in accordance with laws and regulations.

E. Management System

KOKI shall adopt and establish a management system with a scope that is related to the content of this sustainability system through a quality management system and environmental management system. The management system contains the following elements:

  1. Company Commitment
    Statements affirming KOKI’s commitment to compliance and continual improvement and policy on social and environmental policy endorsed by executive management and made public to employees in the local language or a language they understand.
  2. Management Accountability and Responsibility
    Clearly identified senior executive and company representatives responsible for ensuring implementation of the management systems and associated programs and periodical review of the management systems.
  3. Legal and Customer Requirements
    A process to identify, monitor and understand the applicable laws, regulations and customer requirements including the requirements of the RBA code of conduct.
  4. Risk Assessment and Risk Management
    A process to identify legal compliance, environmental, health and safety, and labor practices.
  5. Improvement Objectives
    A written performance objective, target and implementation plan (including periodical review on the performance).
  6. Training
    A program for employees to implement KOKI’s policies, procedures and improvement objectives and to meet applicable legal and regulatory requirements.
  7. Communication
    A process to communicate clear and accurate information regarding policy, practice, expectations and performance to employees, suppliers and customers.
  8. Worker Feedback and Participation
    A process to evaluate the employees’ understanding of operational practices and conditions covered by the RBA code of conduct and obtain feedback to foster continuous improvement. Employees shall be given a safe environment to provide grievance and feedback without fear of reprisal or retaliation.
  9. Audits and Assessments
    A periodical self-evaluation to ensure conformity to legal and regulatory requirements, the content of the RBA code of conduct, and customer contractual requirements related to environmental responsibility.
  10. Corrective Action Process
    A process for timely correction of deficiencies identified by internal or external assessments, inspections, investigations and reviews.
  11. Documentation and Records
    KOKI shall create and maintain documents and records to ensure regulatory compliance and conformity to company requirements along with appropriate confidentiality to protect privacy.
